Part 01 — The system

The system.

What is it?

A connected business management system — leads, quotes, projects, schedule, field, invoicing, servicing, plus inventory, communications and marketing — staffed by AI agents and tailored around your business. Fully built; it works today.

Who is it for?

Businesses that quote, schedule, do the work and invoice it — trades, installers, integrators, service companies. Built in Australia for Australian businesses first: AUD, GST and after-hours rules are native, not add-ons. Industry-agnostic by design — if work comes in, gets done and gets invoiced, it fits.

What is Easydone?

Easydone is business management software built in Perth for people who run a business. Easydone CRM runs your customers, jobs, team and paperwork. Easydone Studio is the separate website and marketing product.

Is it built in Australia?

Yes — built in Perth, and not by a vendor guessing at how Australian operations work. Built by Australian business owners, for Australian business owners: AUD, GST and after-hours rules are native, not retrofits.

Why not the incumbents?

The receipts, in short: no consultant army and no open-ended day rates — one fixed engagement; your requests scoped, agreed and built instead of dying in an ideas portal; three sane tiers instead of per-seat creep; an AI bill you can read. Their complexity is the product. Ours is the absence of it.

How do feature requests actually ship?

You file the request in the app. We agree the scope and timing with you before the work starts. It is built and checked on a practice copy of your system — never your live data — and a person on our side reviews it. When it is ready an email lets you know. You try it, review it and approve it, and it lands as its own numbered change with a one-click undo, published on the ledger. One request a week on the Alterations tier. 461 filed and tracked to date.

Part 02 — Rates & the AI bill

Rates & the AI bill.

What does it cost?

Contact us for pricing. Choose The Software for the CRM, Alterations for agreed changes, or Unlimited for a dedicated build lane. We discuss your team, setup and support needs and provide a written quote in AUD, ex GST. See the Pricing page or email colin@easydone.studio.

How is AI usage billed?

Like an electricity bill you can actually read. Every plan includes a generous monthly amount of AI work, shared by the whole team, and a live dashboard shows exactly who and what is using it, per staff member. Routine work runs on cheaper AI automatically.

What if we use a lot of AI?

You'll never find out from an invoice. At 80% of the included amount the owner is told, then chooses: add more at listed rates, or cap it — the AI pauses, the software keeps working. No surprise bills, ever.

Do unused alterations roll over?

On Alterations: no — it's use-it-each-week, and we'd rather tell you here than in a renewal call. If your appetite is bigger than a week, Unlimited exists for exactly that.

Is there single sign-on?

Single sign-on ships on the Unlimited tier, alongside a dedicated build lane and priority migrations. Priority support starts at the Alterations tier.

Part 03 — The tailoring

The tailoring.

Why is there a tailoring fee?

The tailoring fee is one-time and fixed, quoted before you commit. It covers your automations, your first agents (roles, guardrails), deep document templates on your letterhead, data migration, and training your team to brief, use and create agents safely. Scaled to your size — never day rates.

How does data migration work?

Data migration out of the incumbent is a fixed line item in the tailoring engagement — quoted upfront, before you commit. Timeline agreed at the scoping.

How long until we're live?

Timeline is agreed at the scoping — on the same page as the fixed quote, before you commit. No open-ended engagements, no meter running.

Part 04 — The agents

The agents.

What exactly are the agents?

Agents are staff living inside the software, with full context on your business — every customer, job, quote, invoice and email thread, within what their role allows. Give one a name, a role and a scope, then brief it in plain English — if a person in that role could do it in the system, an agent can be briefed to.

Do we have to use the agents?

No. The agents are optional — the software is a connected business management system your team can run entirely by hand, every module, with zero agents switched on. Hire your first agent when you're ready: one, a dozen, or never.

What stops an agent doing something it shouldn't?

Anything that matters — outbound emails, payments, anything you flag — waits for a human OK; you choose what counts, per agent and per action. Agents use the same role permissions as human staff, everything they do is written down, and one click undoes anything an agent changed.

Is every action logged?

Every action — human or agent — is written down as it happens. Who, what, when, on whose say-so.

Can we undo what an agent did?

One click. It undoes anything an agent — or an alteration — changed. Every change is numbered, so trying an idea is cheap because reversing it is cheaper.

What if an agent gets something wrong?

The agents — and the alteration loop — are our responsibility. We oversee them, monitor their behaviour, and when something isn't right we undo it and fix it. AI can be wrong; the system is built so wrong is cheap to catch and cheap to undo.

Why doesn't the AI cost a fortune?

Routine work — data entry, tidy-ups, drafts — runs on cheaper AI automatically; the premium stuff is saved for the hard thinking. You can see who does what, change it, and see what every task cost.

How is this different from bolt-on AI agent products?

Agents alone are not enough. Bolt-on agent vendors sell a second subscription on top of the SaaS you already pay for — more integration plumbing, and agents with no real context on your business. Ours live inside the system of record: every customer, job, quote, invoice and email thread is already theirs to work with, within their role — and the system replaces the rest of your stack over time, instead of adding to it.

Part 05 — The modules

The modules.

How does it handle leads?

Spec sheet 01: capture from email, phone and web into one inbox; AI triage and enrichment on arrival; calls answered by the AI receptionist land as leads with transcripts; follow-up nudges so nothing goes cold; pipeline and forecast view with real numbers.

What does the quoting module do?

Spec sheet 02: AI drafts from a walkthrough or notes; proposals carry your artwork, with inventory photos tied to quote lines; live supplier price lists with AI price-list sync; per-line margin visibility; the customer e-signs online; accepted becomes a project in one click.

How deep does project management go?

Spec sheet 03 — the heavy one. Fourteen tabs, each one real: summary, quotes & scopes, Gantt, checklists, equipment, schedule & time, documents, deliverables, invoicing, retentions, variations, absorptions, options, activity. Budget vs actuals runs live, profit per project is on screen, and small jobs get a simple mode.

What are absorptions?

Absorptions are the costs you chose to eat, visible instead of vanished. They get their own tab on every project and their own line in profit tracking — so the next quote learns from every eaten dollar.

How does scheduling work?

Spec sheet 04: drag-and-drop across crews; conflicts flag themselves; after-hours premium rules price themselves; rain-day or sick-tech mass re-slots in one action. And it's tied to Field — the board and the tech's phone update each other, live, both directions.

What do techs get in the field?

Spec sheet 05: today's run on the phone; your own forms — inductions, checklists, compliance docs — filled out on site; serial numbers and equipment info scanned with the camera; photos and signatures captured on glass; AI writes the client-ready service report from the tech's notes.

How does invoicing work?

Spec sheet 06: deposits, progress claims and finals, Xero-synced; per-customer payment terms drive real due dates; automated invoice follow-up — polite, persistent, until paid; and detailed profit tracking underneath it all.

Can it track profit?

Detailed profit tracking at job, project and company level, with absorptions and loss tracked explicitly. Margin is visible from quote line to final invoice — and per project it's a live number, not a quarterly surprise.

Does it handle inventory and purchasing?

Spec sheet 07: full inventory — stock, serials, locations; supplier price lists kept current by AI sync; inventory photos your proposals reuse; purchase orders and receiving; automated dropship order processing; RMA tracking for returns, repairs and credits; and equipment loaning with due-back reminders.

What about servicing and support?

Spec sheet 08: service contracts with auto-renewals and reminders; SLA timers; a client service portal where customers raise and track their own tickets; ticket automation — routing, triage, booking; monitoring alerts opening their own tickets; recurring invoicing; full asset and site history.

Is there a customer portal?

Yes — a client service portal where your customers raise and track their own tickets. Ticket automation routes, triages and books behind it, and SLA timers keep everyone honest.

Is there a knowledge base?

There's an inbuilt knowledge base that grows every time a ticket is resolved — the answer you worked out in March answers itself in September.

How does email work inside the system?

Spec sheet 09: email tied to your existing Microsoft 365 inbox — your real mail inside the system, threads pinned to jobs — with rich, designed HTML signatures, inbuilt call transcription, voicemail in the system, and an AI receptionist. Every conversation lands on the customer record.

Who answers the phones?

The AI receptionist answers, routes, takes messages and books. Calls arrive transcribed and attached to the customer record — and if it's a new enquiry, it lands in Leads with the transcript. Voicemail is kept on file too.

What marketing tools are built in?

Spec sheet 10: campaigns and newsletters built from live customer data; segments by trade, spend, assets or contract status; review generation; and every send tracked back to revenue.

Part 06 — Custom & ground-up

Can you build something completely custom?

Two answers. Custom modules: built around workflows that are yours alone — and they stay your IP, in writing. If no product fits at all, there's the ground-up build: a whole system from scratch, discovery then a fixed-quote scope of works, on the same AI-staffed platform, 100% your IP. See the Custom page.

Can it do our weird workflow?

Honest answer: if it isn't on a spec sheet, that's what alterations are for. You file the request in the app, we agree the scope and timing with you, and when it is ready an email lets you know. You try it, review it and approve it, and it lands as a numbered change. Bigger than a feature? Custom modules (your IP) — or the ground-up build.

Who owns the custom modules?

You do. Custom modules are your IP — never rolled out to other customers, never productised out from under you. It's in writing as Clause 13 on the Modules page. Ground-up builds go further: 100% of the system is yours.

Part 07 — Data & security

Can we leave — and take our data?

Your data is yours: export everything, any day, in open formats. Encrypted wherever it moves or sits, Australian residency available, access locked to each person's role — and never used to train anyone else's AI.

Part 08 — Hosting & continuity

Hosting & continuity.

What's the uptime SLA?

Honestly: availability commitments belong in the agreement, where they bind us — not on a marketing page. Formal SLA terms are provided with larger-scale agreements, and when something goes wrong every customer gets prompt, honest status communication. Ask for the numbers at the demo; they go in writing.

Where is it hosted — and where does our data live?

It's hosted and operated for you — no servers of yours to run. Australian data residency is available, so your data can stay onshore. Hosting and continuity arrangements are documented in the agreement — written where they're enforceable. The full statement is on the Security page.

What about backups and continuity?

Backups run as part of hosting, and every change to the software itself is numbered, with a one-click undo. The specifics — frequency, retention, restore testing — are stated as numbers in the agreement rather than adjectives here. If a figure matters to your risk register, ask at the demo and it goes in writing.

Part 09 — Integrations

Integrations.

What does it integrate with?

Microsoft 365, Xero, Podium, XiO Cloud — and an open API for the rest. Need something it doesn't list? That's what alterations are for — file the request and it gets built into your system. Bigger than an integration? There's the ground-up build.
